Key Responsibilities

* Facilitate the efficient and smooth operations for all expatriate on-boarding, life cycle and exit processes aligned with agreed process mapping.
* Perform various administrative functions on site's instruction.
* Ensure that the HR Support Hub is in communication with site based resources at each stage of expatriate administration processes.
* Conduct regular audits on employee hard copy (with site) and electronic files according to the required governance, and ensure any corrective actions are completed timeously.
* Track site queries and complaints and ensure close out.
* Compilation and submission of weekly/monthly reports to the Supervisor as required.
* Identify areas for improvement of processes and recommend to Supervisor. Work with the HR Support Hub resources to implement any changes.
* Ensure the collection of required work permit documentation and submission to site is completed in agreed timeframes and comprehensive.
* Facilitate the work permit application process to submit documents to site.
* Ensure regular and seamless communication with site based resources at all times.
* Take a collaborative approach in all work related activities including the ongoing maintenance of the reporting and metrics system for the HR Support Hub.

HR Information Systems Management:

* Have demonstrable experience, knowledge and the required skill sets to effectively manage an HR Information system of reference. This will include the management of the Job Requisition process to support the Recruitment team.
* Have a proactive, interactive and curious approach towards the overall operation of the HR Information system.
* Constantly maintain a cognitive and holistic view of the system and how the different business processes are interlinked.
* The ability to effectively and accurately manage the data within the required compliance platforms.
* Capture and maintain records of all expatriates in the HR Information system.
* Provide guidance and advisory services on the operation of the HR Information system to the HR Support Hub team members as well as the site based resources.
* Build and maintain a strong and reliable working relationship with the HR Information System Global team for the ongoing reference of queries and system maintenance and resolutions thereof.
* Share all system updates, integrations, configurations, implementations to all parties concerned in a timely manner. Action changes as required and be the first port of call to the HR Support Hub team members as well as the site based resources.
* Be the technical point of contact for all ongoing operating systems queries, maintenance and troubleshooting by providing ongoing assistance to the HR Support Hub team members, the site based resources and expatriates. Ensure the closure of all open cases in an appropriate and timely manner.

Qualifications, Experience:

* Minimum Education: 3 year degree / National Diploma in HR / Administration
* Minimum of 4 years' experience in HR
* Strong experience in HR systems essential, specialist or Super user preferential
* HR Expat Support Services experience will be an advantage
