Job Description

Provides administrative support to three Vice Presidents and their staff, reporting administratively to the Vice President & Treasurer. Prepares presentations, reports, and undertakes project work with little or no supervision. Co-ordinates travel, meetings, travel visas and events. Maintains files and generates correspondence as directed. Performs day-to-day activities as directed by the group in a timely manner.

Job Responsibilities

  1. To provide administrative support for the Vice Presidents of Treasury, Tax and Operations Accounting and their respective departments
    1. Responds to or re-directs phone calls
    2. Maintains calendars, co-ordinates and schedules meetings, book rooms and conference calls
    3. Maintains individual directory of Contacts
    4. Writes communications and responds to administrative requests; prioritizes and flags important issues 
    5. Anticipates needs, performs routine and non-routine tasks, and handles high-level or confidential correspondence; ensures accuracy and quality of all work completed
    6. Performs routine tasks such as coordinating travel, completing expense reports, managing invoices, helps implement and maintain filing and organization systems, ensuring confidentiality when necessary
    7. Liaises with internal and external contacts and responds to information or material requests
    8. Distribute faxes and mail, as appropriate. Ensure outbound mail is processed correctly
    9. Printing, photocopying, collating, and preparing reports and other documents
    10. Review email, correspondence, and other incoming information, flagging urgent matters and deadlines
  2. To provide secondary support  on a more general level
    1. Provide general support on department projects
    2. Process invoices for payment ensuring proper coding, approvals and timely payment
    3. Review refiner and transportation invoices for gold shipments ensuring charges are in accordance with agreed upon terms and agreements
    4. Coordinates events for the department and arranges participation in conferences by planning and carrying out all necessary logistics and details
    5. Prepares, coordinates, and distributes presentation material for internal and external meetings
    6. Edits PowerPoint presentations and reports for meetings and conferences
    7. Downloads, prints, assembles bound reports, photocopies and scans documents 
  1. To be a member of the Office’s Executive Assistant team  
    1. Provides backup for other administration positions, as required 

Scope of Responsibility & Complexity

Work is performed under general direction, may be non-routine, and may involve advanced assignments.  Requires considerable initiative and judgment to deliver results.  Resolves problems requiring judgment to select a solution from a number of alternatives. Complex or unfamiliar situations are escalated to supervisors. Work impacts decisions at team, functional or process level.

Education and Experience

  • College or training equivalent to 3 years of study
  • Partial completion of formal professional certification or designation in appropriate area of expertise
  • Approximately 3-5 years of related work experience, with at least 2 years working directly as an Executive Assistant
  • Expert knowledge of PowerPoint, Excel, and Word software
  • Exceptional oral and written skills (English)
  • Proven ability to work with a diverse group of individuals
  • Knowledge of basic office functions, i.e., office machines, telephone systems, copier, fax, binding machines
  • Proven ability to manage several tasks simultaneously in a deadline driven environment and excellent organizational skills
  • Strong analytical & problem solving skills
  • Strong typing skills

  • Previous experience in the finance field is preferred
