Job Description

To act as an administrative assistant to two senior HR leaders, and to carry out general administrative duties in support of the associated HR teams.

Job Responsibilities

  1. Act as an Administrative Assistant.
    • Manages calendars, including booking and accepting meetings, along with managing associated meeting room bookings, conference call, video conference and / or webex details.
    • Coordinates travel arrangements for local and international trips, including visas and other immigration matters.
    • Processes invoices and expenses in accordance with company policy.
    • Coordinates transfer pricing for the team
  2. Provides administrative services
  • Prepares materials for meetings of the Compensation Committee of the Board of Directors, including online posting of materials, and preparing binders for Board members and executives.
  • Handles routine and straightforward administrative duties such as: data entry, filing and preparing employee communication.  Assist in benefits administration, as directed
  • Prepares presentations, spreadsheets and other materials to be used within the department, or shared with senior management. Prepares meeting agendas, follows up on action items and coordinates communication material within the department
  • Assists with non-routine administrative projects as needed such as organizing special events, coordinating documents or preparing mailers, desk drops and packages
  • Maintains HR filing systems including generating labels, archiving and retrieving files
  1. Provides basic level customer support
  • Acts as an ambassador for the HR team, including greeting guests and handling basic inquiries
  • Demonstrates exceptional organizational skills and able to respond to multiple and often competing priorities

Other duties as required

Works under general direction to provide a well-defined end-result or service. Work is assigned with specific goals or end-results in mind. Work outcomes are reviewed against goals, timelines, and adherence to Kinross practices. Requires initiative and independent judgement in completing work. Problem resolution requires the application of standard procedures or the adaptation of established methods and procedures, or the search for and application of precedent.

 

Education and Experience

  • High-school graduation with related post-secondary training and / or advanced business and management courses / completion of specialized training
  • 2 – 5 years of related experience
  • Strong skills in Microsoft Office, including Word, Excel and PowerPoint.
  • Effective communication skills, verbal and written
  • Excellent attention to detail
  • Good number / math skills and confidence working with numerical data
  • Able to serve as a high value/high impact member of the HR team
