Job Description

To primarily provide administrative support for the Senior Vice President, Government Relations. To provide secondary support to other Executives or teams as required. Assists with the preparation of presentations, reports and other documents. Schedule and coordinate travel and meetings. Coordinates events and arranges department participation at conferences. Maintains files and generates correspondence as directed. Performs day-to-day activities as directed by the Executives and others in a timely manner

Job Responsibilities

To provide day to day administrative support for the Senior Vice President, Government Relations

Coordinates events and arranges participation in conferences for the department, by planning and carrying out all necessary logistics and details

Maintains a directory of contacts and external stakeholder database for the Senior Vice President, Government Relations and the lawyers in the department

Maintains an organized filing system, including a precedents database

Calendar management for the Executives and the department, with an ability to proactively identify opportunities to help improve productivity

Schedule and coordinate all domestic and international travel arrangements, including troubleshooting and management of conflicts.

Schedules meetings and, as requested, prepares an agenda, maintains actions trackers and takes meeting minutes

Prepares and processes expense reports in a timely manner

Maintains sufficient office supplies for the department

A variety of other ad-hoc requests


To prepare, proofread and format internal and external correspondence, presentations and legal documents

Downloads, prints, photocopies documents and assembles bound reports

Provides general support on department-related projects

Prepare materials for meetings, conferences and quarterly reports for the Board

Prepare correspondence as needed.

Education and Experience

5+ years of related work experience

Familiarity with writing legal and Board reports

Professional and detail oriented

Exceptional oral and written skills

Ability to read and write correspondences in French is highly desirable

Proven ability to multi-task simultaneously in a deadline-driven environment and excellent organizational skills

Can prioritize, establish timelines for assigned tasks and communicate them to department members

Must possess computer input and processing skills, including a proficiency with Microsoft Word, Excel and PowerPoint, Adobe Acrobat and Outlook


Ability to learn quickly

Ability to complete all assigned tasks proficiently, in a timely manner

Must establish and change priorities quickly and be able to perform day-to-day duties with no supervision

Must be able to effectively communicate with a variety of people at all levelsinternally and externally


Due to the international nature of this department, the Executive Assistant, Government Relations may be required, at times, to be available outside regular hours to support in relation to calls or travel issues.

This role will be a 12 month contract to start.
