Drives all aspects of document management for a large multi-disciplinary team of Engineers and Scientists.  Serves as the document control and knowledge management Subject Matter Expert. Drives information management and document control standardization processes; integrates policies, procedures, and best practices. Develops, implements, and governs a Knowledge Management System (KMS). Manages support and training for document control systems in day to day corporate and site operations and on global projects. Manages and develops document management staff, processes and systems for engineering and technical groups, and additionally, supports large capital projects.  Performs regular audits on corporate documents (both paper and electronic), file validation and maintain document control standards.  Creates and implements operating procedures for the management of documents, including document change control.

  • Develops, maintains, and optimizes a Document Management System that enables a multi-disciplinary group of technical professionals to collaborate on, share, search for and discover documents; facilitates organizational interfaces to support document control
  • Manages a team of Document Control Specialists and other administrative staff; provides direction and coaching regarding project prioritization, initiation, execution and issue resolution
  • Assists in defining and communicating Enterprise Content Management (ECM) strategy including physical and electronic content
    • Researches software solution alternatives and stays apprised of developments in ECM and SharePoint
    • Works closely with Management Information Systems (MIS), SharePoint and ECM teams on building, executing and maintaining a document control system
  • Manages faceted taxonomies and metadata structures, establishes and/or updates standardized taxonomies
  • Works closely with business areas, defines business-centric ECM requirements and evaluates available solution options, including SharePoint
  • Develops ECM processes and policies
  • Applies relevant standards to ensure obsolete/superseded documents are removed from the work environment and only current revisions of necessary records are available at point of use
  • Develops and manages appropriate mechanisms to monitor compliance with the established Document Management System and takes early actions to correct any deviations from good governance practices
  • Ensures technical competency and consistency of Document Management across all projects and provides training, information and guidance to the Document Management System users, both in Phoenix and at operating sites
  • Performs other duties as required

Minimum Qualifications

  • Bachelor’s degree in Library Science, Information Services, Communication, Business Administration, or related field and seven (7) years of experience directly related to setting up, configuring and maintaining the Document Management System for Corporate groups as well as large capital projects
  • Experience managing documents in multiple platforms: Outlook, SharePoint, shared drives, OneDrive, Aconex, Ipas, PoL etc.
  • Working technical knowledge of databases as it relates to Document Management platforms
  • Ability to work across technical backgrounds, ranging from training users, to working with SharePoint Architects
  • Strong (oral and written) communication and documentation skills
  • Must work well under pressure and time constraints
  • Must be a self-starter, quick learner and highly productive
  • Strong business ethics
  • Expert in Microsoft Office products, with high competency in SharePoint
  • Ability to develop and maintain awareness of occupational hazards and safety precautions
  • Skilled in following safety practices and recognizing hazards



  • Experience in change management a plus
  • Previous experience in developing Knowledge Management Systems for multi-disciplinary businesses
  • Fluent English (oral and writing) is required; Spanish as an additional language is preferred


  • Ability to understand and apply verbal and written work and safety-related instructions and procedures given in English
  • Ability to communicate in English with respect to job assignments, job procedures, and applicable safety standards
  • Position is in a busy, non-smoking office located in downtown Phoenix, AZ
  • Location requires mobility in an office environment; each floor is accessible by an elevator
  • The role will generally be based in the Corporate Office (Phoenix) with short travel assignments to the Project Execution Base (Globally) to set-up and configure any specific Project DMS (Document Management System) and associated tools for large capital projects
  • Occasionally may be required to lift moderately heavy objects (up to 25 pounds) during the course of the workday
  • Some walking/hiking is required during operational visits and inspections
  • Personal protective equipment is required when performing work in a mine, outdoor, manufacturing or plant environment, including hard hat, hearing protection, safety glasses, safety footwear, and as needed, respirator, rubber steel-toe boots, protective clothing, gloves and any other protective equipment as required
