The Kinross Corporate Head Office is located in downtown Toronto and supports Kinross operations and projects worldwide. Corporate functions include Finance, Procurement, Health & Safety, Human Resources, IT and Investor Relations.

Job Description

Provides administrative support to an executive and secondary support to the executive’s team, as required. Assists with the preparation of presentations and reports. Schedules travel and meetings. Coordinates events and arranges department participation at conferences. Maintains files and generates correspondence as directed. Performs day-to-day activities as directed by the executive in a timely manner. 

Job Responsibilities

  • Assists with planning and coordinating domestic and international travel for the VP and team
  • Schedules meetings and conference calls, books and sets up boardrooms for meetings
  • Manages calendar for the VP and provides secondary calendar support for executive’s team
  • Books meetings on behalf of the VP and executive’s team
  • Completes expense reports and manages invoice processing and logs for the Projects team
  • Responsible for maintaining electronic filing on shared drive and on SharePoint and organization systems within the departments
  • Prints and photocopies, collates, and prepares reports and other documents
  • Provides assistance through proactive follow up of on-going matters
  • Provides assistance on special projects, including reporting, preparation of budget packages, and event management
  • Receives sorts and distributes incoming mail.
  • Distributes faxes and mail, as appropriate. Ensure outbound mail is processed correctly.
  • Prepares materials for meetings and conferences
  • Anticipates needs, performs routine and non-routine tasks, and handles high-level or confidential correspondence; ensures accuracy and quality of all work completed
  • Liaises with internal and external contacts and responds to information or material requests
  • Coordinates events for the department and arranges participation in conferences by planning and carrying out all necessary logistics and details
  • Other duties as needed 
  • Provides back-up support for Document Control for various projects
  • Supports Projects team with troubleshooting basic IT related issues

Education and Experience

• College or training equivalent to 3 years of study
• Partial completion of formal professional certification or designation in appropriate area of expertise

• More than 5 years of related work experience


• Knowledge of basic office functions, i.e., office machines, telephone systems, copier, fax, binding machines
• Proficiency with Microsoft Word, Excel and PowerPoint
• Exceptional oral and written skills (English)
• Proven ability to manage several tasks simultaneously in a deadline-driven environment and excellent organizational skills
• Proven ability to work with a diverse group of individuals
• Strong dictation and typing skills
• Ability to maintain focus on assigned tasks in a fast-paced and dynamic environment
• Professional and detail oriented
