The Role

Reporting to the Director, Total Rewards, the Analyst, Executive Compensation supports all exec comp activities including the preparation of HRCC meetings and proxy circular documents, by gathering, organizing and analyzing compensation data and reports. He/she manages all share-based programs: EIP and global ESPP including the coordination with external provider and with internal departments (Finance, Legal).

The Analyst acts as the data and metrics expert within the Total Rewards team and supports the team in the multiple compensation projects.

Your Responsibilities:

Key Area: EIP and ESPP on-going management:


Calculate the grants and manage all aspects of the grants process from employee communication, getting the Black-Scholes value, preparing the system, coordination with securities paralegal, following up on grant reception approval from employees. Perform same complete coordination for the board members annual grants.
Keep track of all the vesting dates, prepare vesting activities ahead of time, communicate with employees or board members, validate vesting in system.
Coordinate regularly with Finance for the accounting of share-based comp and share reserve tracking.
On a monthly basis, balance and verify invoices and provide to the Director for approval.
Process the forfeiture account activities on a quarterly basis (ESPP).
Coordinate the ESPP monthly process and oversee sites administration.
Is the global subject matter expert for the ESPP program, answer questions and explain the program to the HR teams at sites; keep track of the enrollment rules for the non-Canadian employees.
Act as the primary contact with the external provider, meet with them on a bi-weekly basis and handle special cases for all sites.

Key Area: CIP accrual process management:

At the beginning of the year, update CIP plan and all templates required in the quarterly accrual process.
On a quarterly basis, communicate with each metric stakeholder and gather the metric results; manage the CIP accrual annual calendar.
With the forecast results, generate the accrual file and calculate the accrual amount.
Prepare the quarterly presentations for the CFO and HRCC.

Key Area: Participation in HRCC preparation:


During the weeks preceding each HRCC meeting, prepare the analysis, documents and presentation required for each meeting.
React promptly to last minute requests, audit own work in a very methodical manner.
Support the Director in all the requests related to HRCC.
Acts as the subject matter expert of Equilar database and ISS platform and provide analysis in a pro-active matter.

Key Area: Proxy circular support:


Prepare annually the data file to receive proxy data and gather the external reports (SEDI, Solium, pension statements, payroll statements, share price, info from Finance, etc.) required for proxy numbers.
Create and keep up to date the proxy data file.
Create the required tables and graphs for the proxy.
Keep back in order for peer review and audit trail.

Key Area: Analysis and Metrics:


Prepare analysis on an on-going basis related to executive and share based compensation, for example running the various pay-for-performance tests, participation rate and levels in the ESPP, executive share ownership reports, etc.
Support the manager, compensation and director, total rewards in various projects.

Key Area: Compensation Surveys:


Prepare and report IMG’s data to the various annual surveys; work on the job matching with the Manager, Compensation.


What we look for:

Bachelor degree in mathematics, finance or human resources with a strong aptitude for compensation, or related area.

Minimum 3 years of related experience of working with numbers and having to master complex concepts; for example working as an analyst in a compensation consulting firm

Must master expert level of Excel

Must be at ease with systems

Must know a base of how share-based programs work

Must love working with data for intense periods

Must be able to audit own work, be systematic, be organized and focused

Must be able to handle the pressure of short deadlines, high volume, sudden shift in priorities
