The Role:


To provide administrative support that includes maintaining records and files, ensuring appropriate levels of supplies, preparing correspondence and general data processing.

Your Responsibilities:

Key Area:

Provides administrative support to a function or department

Duties:


Handles routine and straightforward administrative duties such as: data entry, filing and preparing communication
Prepares presentations, spreadsheets and other materials to aid the department in decision making
Prepares meeting agendas, follows up on action items and coordinates communication material within the department
Coordinates events including preparing the meeting space, ordering food, tidying the room, preparing handouts and materials and coordinating travel arrangements as needed
Responds to employees’ questions and inquiries related to administrative matters and if needed, escalates their requests to other administrative staff
Provides back up administrative support to other departments and is thoroughly versed in the administrative processes for at least one other department
Provides relief for receptionist as required
Maintains office filing systems including generating labels, archiving and retrieving files
May order office supplies and maintain inventory levels

Key Area:


Provides basic level customer support

Duties:

Acts as an ambassador for the team, including greeting guests and handling basic inquiries
Demonstrates exceptional organizational skills and able to respond to multiple and often competing priorities
Prepare, book, follow-up and verify employee travel arrangements
Other duties as required

Key Area:


Serves as the primary point of initial contact for internal and external constituencies on all matters pertaining to the Manager

Duties:

Manages incoming and outgoing electronic communications on behalf of the Manager
Responds to or re-directs phone calls and emails
Reviews incoming and outgoing correspondence and materials directed to the Manager and brings significant items to their attention
Interact with both internal and external executives, assistants, and consultants, to coordinate a variety of executive meetings


Qualifications


What we look for:


High-school graduation with related post-secondary training and / or advanced business and management courses

Completion of specialized training or certification requiring up to 1 year of education

A minimum of 2 to 5 years of related work experience

Experience with best practices in corporate governance, legal structure and corporate filings is ideal

Additional Qualifications:

Computer literate and proficient in word processing, data entry, spreadsheets and PC based presentation graphics

Effective communication skills, verbal and written

Proven ability to balance several tasks simultaneously and excellent organizational skills

Ability to work with others in a team environment

Flexibility to undertake a variety of assignments

Pleasant and courteous in interpersonal interactions

Knowledge of basic office functions, i.e., office machines, telephone systems, copier, fax, binding machines

Fluency in English; French would be an asset

Highly motivated and independently driven with a sense of urgency
