Executive Assistant to GM - Rosebel Mine Site and Paramaribo Office

The Role:


Provides high-level administrative support to the General Manager. Prepares presentations, reports, and undertakes project work with little or no supervision. Coordinates events and arranges the Manager’s participation at events and meetings. Maintains files and generates correspondence. Enhances the Manager’s overall effectiveness by providing information, management support, and representation to the department.

Your Responsibilities:

To provide administrative support to General Manager.

Writes communications, coordinates and schedules meetings, and responds to administrative requests; prioritizes and flags important issues.
Anticipates needs, performs routine and non-routine tasks, and handles high-level or confidential correspondence; ensures accuracy and quality of all work completed.
Provide general support on projects.
Performs routine tasks such as coordinating travel, filing, scheduling, and managing invoices.
Budget and expense tracking for the Manager.
Coordinates events and arranges participation in conferences and meetings by planning and carrying out all necessary logistics and details including securing travel or business visas.
Coordinates meetings, calendars, and communications.
Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner.
Ensures travel and accommodation arrangements are made and expense accounts prepared and submitted for the SVP and Executive in an accurate and timely manner.
Purchasing and logistics coordinator for the department; maintains office supplies inventory and ensures operation of equipment.


To prepare materials and maintain administrative systems.

Maintain the general filing system and file all correspondence.
Assist in preparing confidential documents for Government authorities.

Maintains a directory of contacts for the Manager.


Serves as the primary point of initial contact for internal and external constituencies on all matters pertaining to the Manager and the department.

Manages incoming and outgoing electronic communications on behalf of the General Manager.
Responds to or re-directs phone calls and emails.

Reviews incoming and outgoing correspondence and materials directed to the Manager, and brings significant items to their attention.

Interact with both internal and external executives, assistants, and consultants, to coordinate a variety of executive meetings.

Provides overall administrative support for stakeholder meetings and visits.

Supervisory Board Meeting: provide overall coordination of meetings (preparation of documents and binders, correspondence with Board members, distribution of materials, minute taking during meetings, follow up on items flagged in prior meetings).
General Shareholders Meeting: provide overall coordination of meeting; preparation and timely distribution of materials to members and government officials.

Crisis Management Team: handle and monitor various parts of documentation (translation and monitoring).

Support Senior Management Committee with various tasks as required.

Overall coordination of Corporate Executive visits to Suriname and RGM mine site. Development of proposed programs and communication with Executives, government officials, and their assistants.

Coordination of all Corporate visits including Ministers, Cabinet members and external organizations.


Qualifications

What we look for:
Bachelor degree in social study or other equivalent degree.
A minimum of 5 years' of related work experience, specifically providing administrative assistance for a senior executive and or senior management team.
Initiative, discretion and judgement of a high order with the ability to maintain confidentiality.
Proven ability to work with a diverse group of individuals at various levels within an organization.
Willing to work on both RGM mine site and office in Paramaribo.
Strong time management and effective organizational skills.
Strong interpersonal communication and negotiation skills.
Knowledge and broad understanding of office protocols in a corporate environment.
Demonstrated high level computer literacy skills (MS Office)
Excellent verbal and writing skills in both Dutch and English.
